Google Workspace Appropriate Use

Standards for Gmail, Calendar, Drive, Docs, Sheets and Meet within assigned Usual environments.

Use the assigned environment

Use the Usual account and workspace assigned to your business. Company materials belong in approved shared locations with a named owner. A document created quickly in a personal account is still company work and may need to be moved into the managed environment before its link circulates.

Gmail, Calendar and Meet

Check recipients, external guests, calendar visibility and meeting permissions before sharing. An invitation forwarded to another team does not grant that team authority to approve the agenda. Meet chat and calendar descriptions are part of the working record when retained; brevity does not make them off the record.

Drive and collaborative editing

Grant access to the people who need it. “Anyone with the link” should not become the default answer to a permission problem. Resolve comments and suggestions before identifying a version as approved; a document with 29 unresolved suggestions is a discussion, even when its filename includes APPROVED. Preserve the location of the version people are actually using.

Monitoring and review

Usual may review available sign-in activity, sharing history, file access, document content, email, calendar entries and meeting records for security, support, investigations, legal requests and records management. Collaborative editing may leave a detailed history of who changed a sentence and who immediately changed it back. A private browsing window does not convert a company account into a personal one. Routine monitoring does not require Usual to activate a colleague’s camera or microphone.

Relationship to Microsoft 365

A Microsoft 365 user and a Workspace user may work on the same matter. Before exporting a document or duplicating a meeting series, agree which location holds the authoritative record. A second calendar invitation is not a backup plan if half the attendees accept each copy.

AMI and Consolidated exemption

Colleagues still running Lotus Notes as part of the AMI or Consolidated acquisitions are exempt from Microsoft 365 and Google Workspace adoption requirements until their Notes environment receives a formal migration notice. They are not required to maintain a second calendar or recreate a working Notes database to establish that it still works. This exemption concerns suite adoption; the meeting conduct policy still applies when a colleague joins a Teams, Meet or Zoom session.
