Selecting the activity
Local teams propose projects with a clear community partner, a manageable task and a date that accommodates both the partner and the visiting executive. Usual supports practical work including sorting donated goods, preparing public spaces and assembling learning materials. Projects requiring sustained expertise should name the people who will remain after the launch photograph.
Volunteer arrangements
Colleagues book approved volunteer time through their manager. The Community Partnerships Office provides transport instructions, safety information and an event briefing. Activities are encouraged. Team leaders are asked to explain a participation rate below the business target. A colleague who volunteers independently may submit evidence, provided the activity occurred within the reporting period and did not use a competing event hashtag.
The communications plan
The partner confirms which areas and people may be photographed. Photographs should depict useful activity and avoid obstructing it. The 2025 packing day introduced a camera-free loading period after the distribution team explained that finished boxes were spending too long in the portrait area.
Reporting contribution
The company reports completed volunteer hours and the partner’s account of the result. Preparation, transport and executive attendance appear in separate fields. The annual review noted that two teams had spent more time reconciling those fields than packing their allocated materials. The partner requested another packing day and a smaller communications team.
