Records Management

Creating, retaining, classifying and disposing of records, including determining which version of a document titled FINAL is final.

Conflict of Interest

Annual identification and certification of actual, potential, perceived, anticipated, previously disclosed or otherwise relevant conflicts.

These representative scenarios demonstrate the decision-making expected of Usual colleagues. Correct answers may remain subject to additional review.

SCENARIO 01 · INFORMATION SECURITY AWARENESS

Mr Biggs requests 40 gift cards by email, then calls and confirms the request. What should you do?

  1. Purchase the gift cards.
  2. Report the email as suspected phishing.
  3. Contact Information Security using an independently verified method.
  4. Ask Mr Biggs why he requires 40 gift cards.
Correct answer: C

Mr Biggs’s confirmation should not be considered sufficient verification that the request originated from Mr Biggs.

SCENARIO 02 · WORKPLACE CONDUCT

A colleague repeatedly refers to another employee as “the new Kevin,” although Kevin remains employed by Usual. What should you do?

  1. Ignore the reference unless Kevin objects.
  2. Ask which Kevin is intended.
  3. Consider whether the reference creates a workplace concern requiring appropriate review.
  4. Update the directory.
Correct answer: C

The continued employment of Kevin does not resolve the potential workplace concern.

SCENARIO 03 · RECORDS MANAGEMENT

A document titled FINAL_v7_FINAL2_MBcomments_CLEAN_FINAL.pptx should be:

  1. Retained.
  2. Deleted.
  3. Classified.
  4. Referred to Central Word Processing.
Correct answer: D

Central Word Processing will determine whether the document is final.

SCENARIO 04 · CODE OF BUSINESS CONDUCT

You receive approval from a Steering Committee for an action that another Steering Committee previously declined. What should you do?

  1. Proceed using the most recent approval.
  2. Proceed using the approval from the more senior committee.
  3. Determine whether either committee had decision rights.
  4. Schedule a joint Steering Committee.
Correct answer: C

Approval should not be interpreted as authority where decision rights have not been established.

Completion Requirement

All assigned modules must be completed by the published deadline. Completion after the deadline will satisfy completion but will not alter the deadline.
