What must be agreed before the pre-read can be circulated?
The case for intervention
A decision meeting was delayed because participants disagreed about the pre-read. The organization introduced a meeting to agree the pre-read before the meeting to discuss the decision. That preparation meeting subsequently required its own pre-read.
The work undertaken
A twelve-person group held 66 weekly two-hour sessions to establish content readiness. Its 96-page reading pack acquired an eight-page executive summary and a five-page summary of the executive summary. The meeting invitation asked participants to confirm which summary they had reviewed.
The approved outcome
The original decision moved to a later quarter. The preparation standard was approved, creating a repeatable route from a document nobody has read to a meeting everyone is required to attend. Vickie keeps a separate notebook for circulation comments; it has already reached its second volume.
