DOCUMENT COMPLETION BOARD

Final Version Designation Standard

When is final actually final?

The case for intervention

The organization had 19 files called FINAL. The Document Completion Board introduced a release standard identifying the owner, approval date and publication location for each authoritative copy.

The work undertaken

Eight reviewers met twice weekly for 30 weeks, then spent an equal amount of time reconciling tracked changes. The agreed naming standard received six post-approval amendments.

The approved outcome

The authoritative file is now FINAL_FINAL_v7_APPROVED_REVISED. A finality assessment remains open because the standard itself has not passed the naming rule.

What stayed with people

“FINAL. SUBJECT TO REVISION.”
